Seeking Executive Assistant for Forte Labs

I’m looking to hire an Executive Assistant, starting ASAP.

This is a 100% remote position, including administrative, customer service, and other tasks in support of Forte Labs operations. This person will support myself (Tiago) and the other two people I work with, Lauren Valdez and David Perell.

It would initially be 10 guaranteed hours per week at $25 dollars per hour (or $1,000 per month), with room to grow in terms of time commitment, salary, and responsibilities. I’m looking for a 1-year minimum commitment, as there is quite a bit to learn and it will take some time to build up to full productivity.

I’d prefer to work with someone who has experience with Forte Labs courses and content, since the role will require answering questions about them. We also of course use the ways of working that we teach, so it will help if you are already familiar with them. My goal with everyone I work with is to elevate their personal effectiveness as a result of working with me, and this role will be no different.

Responsibilities would include, but not be limited to:

  • Online research and solving problems (fixing payment issues, updating links, or finding the source of a quotation)

  • Supporting travel (booking flights, researching hotel options, or identifying visa requirements)

  • Responding to customer service inquiries (questions about the courses, refund requests, billing issues, etc.)

  • Summarize and organize information (such as the contact info for a group of customers, or make a summary of a call recording and send to all attendees)

  • Basic admin tasks (changes of address, disputing credit card charges, creating a Facebook event page)

  • Drafting communications (such as emails and announcements) for our review

  • Coordinating projects (such as collaborations with other companies, or ordering supplies for a live workshop)

This is an administrative and customer service position, with the goal of allowing the three of us to focus on student interaction and new content creation. You should be comfortable doing routine and clerical tasks while occasionally taking on more complex projects such as events. I’m looking for someone passionate about creating systems, automating routine functions, and working out the kinks and roadblocks in online learning experiences.

  • Available to respond relatively quickly to questions and customer service requests

    • It is an independent contractor role. We'll provide a 1099 at year end.

    • The only benefit is access to all our online courses and Praxis membership for the duration of the engagement.

  • What are the time zone or availability expectations?

    • There are no particular time zone expectations, except that I'd like to be able to promise a reply to customer service emails within 24-48 hours.

  • Do you provide a computer, internet connection, etc.?

    • No, as a contractor the candidate would need to provide all connectivity, equipment, etc. they need to be able to fulfill their responsibilities.

  • Does this role include coaching?

    • Yes, coaching and providing feedback on project expectations, standards, and ways to improve performance will definitely be included as part of our working relationship.
